Macro: InsertPictures (making a NEW presentation)

This powerful macro allows you to choose multiple pictures from a CD-ROM, hard disk, or any other source and put them in to a presentation.

It's real power lies in allowing you to select all the pictures you want to insert, and then inserting them for you and making sure they fit the screen. With the inserting slides macro you can enter dozens of pictures in seconds instead of hours.



 

To get started, you first need to have the presentation file, Presentation Macros.ppt, open. The macros are part of the project so you have to have it open every time you want to use them.

You can have more than one project open at a time in PowerPoint. We will show you how to add pictures to an existing project later.

To run a macro, press Alt-F8, or click on the "Tools" menu then click on "Macro", then click on "Macros..."

 
 

Click on "Insert Pictures" and then click on the "Run" button, (or just double click "InsertPictures")

 

Your screen should look similar to the following:
(Notice the three steps mentioned at the top of the screen. Before you can select the picture files you want, you need to locate them on your computer's drives)



 

First set the drive selector to the correct drive. For example if you want to use pictures that are on your CD-ROM drive and your CD-ROM's drive letter is "D" then select "D:" from the list. If it is "E" then choose the "E:" drive.

IMPORTANT: Be sure you have a disk in your CD-ROM drive before trying to run the macro. If your CD-ROM drive does not show up in the list of drives do the following: Cancel the macro, insert the CD, wait about 15 seconds for the CD to be recognized by the computer, and run the macro again.

 
 

After you have selected the drive, you need to choose the "folder" containing the pictures. The folder selection window displays the "root" or beginning level of the drive first. In the example to the right it is indicated as "D:" or "E:". Each folder that is found at the root level is then listed underneath.

Note: the actual disk you use may have different folder names than these examples.

 

To see the contents of one of these folders, double click on it with your mouse. For example if we double click on the word " IMAGES" in our example the screen will change.

"IMAGES" opens revealing any folders that are contained inside of it. In this case "SAMPLE".

To open the "SAMPLE" folder we double click on the word "SAMPLE".

Choose from the list of pictures presented. You can choose an individual picture by double clicking on it. As you choose pictures they show up on the right side of the screen.

If you want all the pictures, click add all.

If you decide you don't want a picture after all, double click on it in the right side and it will be removed.

You may continue to select as many pictures as you want. You can switch to other folders, even other drives, and keep adding pictures. The macro keeps track of where the pictures are located so you don't have to.



 

When you have finished selecting pictures, you need to indicate your choice on a two options.

The first is whether or not you want to "link" to the pictures. If you check the box "Link to File", the picture will not be copied to PowerPoint and subsequently saved to your hard disk. This will take up less space on your computer, but you will always have to have the CD-ROM containing that picture in your computer when you give the presentation.

If you don't check it, the picture will be copied to your hard drive with the presentation.

 
 

The second choice to make is whether or not to create a new presentation out of the pictures you are inserting. Normally you will wish to do this. The macro will create a new presentation and add all the pictures you selected. So you will wind up with a presentation that contains only the pictures you have chosen.

If you are adding pictures to an existing presentation you will obviously not want to check this. See the next section for how to add pictures to an existing presentation.

 
 

After adding all the slides and checking the appropriate options, click on the OK button (or click cancel if you decide to not add the pictures).

When you click OK the macro will give a summary of the options you have chosen and give you opportunity to confirm your choices.

Then the macro goes to work, and within a very short time you have a presentation ready to go!
